Info for MARC Graduate Assistants

Step One.

School contacts us, fills out a Request Form (which is on our website), and asks for an Assembly for Students, or a Peer Leadership Training.

Step Two, if it's an assembly they want.

Ellen and Meg will set up the schedule and they'll give the school a date for the assembly.  A G.A. will be assigned to do the assembly on that date.

Step Three.

A few weeks before the assembly date, the G.A. emails the school.  Below is one sample of what you should email (more samples can be found in the Dropbox).
What you need to convey in this email:
  • Scheduling – confirm date and figure out a time
  • Your name and the name of any other GA's who will be presenting
  • AV needs (i.e. projector, screen, mic, etc)
  • Appropriate developmental breakdowns of assemblies (found in Dropbox)
  • Room number and link to campus directions for facilitations
Hello Ms. Gittus,

I am the Graduate Assistant from the Massachusetts Aggression Reduction Center (MARC) who will be presenting at your school.  I'm emailing you to confirm that I will be presenting on September 10th.  When it is convenient for you, we can start talking about a specific time for the presentation, a specific location and address, and the age or grades of the students I will be presenting to.  If you have any questions about the student service presentations, you can visit our website for more information at  www.MARCcenter.org.

I look forward to hearing from you.

Step Four: Do They Respond?

Usually they do, and everything's fine and set.  IF THEY DON'T RESPOND, email again in a day or so.  After two tries, call them on the phone - you'll probably have to leave a message.  IF STILL NO RESPONSE, tell Ellen and she will try to track them down.  She'll let you know if (a) they're ok with the assembly & just terrible communicators; or (b) they don't want the assembly after all.

Step Five: After They Confirm, Send them the Rules

At the vast majority of schools where we present, we have no difficulties of any kind.  However there are few unusual situations that remind me to prompt you of a few MARC rules and requests.

***First, please be sure that you’ve thought in advance about tech setup (projector, screen, speakers, mic and extension cord if necessary) and a contact person who can meet me when I arrive (and who knows I’m coming).

***Also, MARC  presenters are NOT there to maintain discipline and order – we do require that every school provides sufficient faculty during the presentation to maintain order.  We realize how busy teachers are and how tempting it is to utilize assembly time to get much-needed work done, but it’s simply not possible to both monitor hundreds of kids and conduct a presentation.

Thank you for attending to these matters before I arrive.  It’s very much appreciated.

Summary of Steps.

2. They are assigned a date by Ellen
3.  Two weeks prior to the assigned date, you contact them to set up specific time, audience etc.
4.  You get a confirmation from them, or you pursue them.
5.  You send them the Rules.
6.  You go to the school and present.
